On July the 1, 2019 – Dallas – M-Files Corporation, announced the general availability of significant enhancements to its Microsoft Office 365 solutions. M-Files now seamlessly integrates within the familiar user interfaces of Microsoft SharePoint Online, Outlook and Teams, providing easy access to out-of-the-box document management, compliance and governance features via the user interface.

From directly within Microsoft SharePoint Online, Outlook and Teams, M-Files provides direct access to enterprise data stored in a variety of external repositories and line of business applications, such as on-premises file shares, OneDrive for Business, SharePoint Server, Dropbox, Google Drive, Box, legacy ECM systems, such as OpenText, CRM and ERP applications, including Salesforce and Microsoft Dynamics 365, all without needing to migrate any data. Users can now access this data directly via the Microsoft SharePoint Online, Outlook and Teams user interfaces instead of toggling between these Office 365 apps and other applications. In addition to this new level of unified access to information spread across the enterprise, M-Files offers a full set of purpose-built content services, including cloud and on-premises repositories, version history, security, workflows, electronic signatures, compliance support and more.

M-Files also employs artificial intelligence to automatically analyze documents to classify them, extract information insights and ensure proper handling of sensitive information, such as personally identifiable information (PII), as required by regulations such as GDPR and CCPA. Modern AI-powered features, including auto tagging and auto classification, create deep insights into the meaning, value and sensitivity of documents and other information, guiding users and automating processes to maintain governance and compliance.

With the new integrated solutions, Microsoft Office 365 users benefit from the metadata-driven architecture of M-Files that allows content to be automatically and dynamically secured and accessed in the right context, regardless of where it’s stored. For example, the corporate legal team can access the latest version of an agreement through the case folder in Outlook, while the project team has access to the same file through a project team site in SharePoint, and the customer success team can access the agreement via the Agreements channel in Teams. Access to content is authorized via single sign-on to Azure AD, and documents are automatically secured based on their metadata.

Do you have your ducks in a row?

Most of us have heard the age old saying, “I have to get my ducks in a row”…… But in business how do we actually go about doing this? It isn’t just about making a “To do list” and then trying to stick to it, getting a handle on what is happening in business takes  a lot more.

Lets face it, with technology, keeping your finger on the pulse has gotten easier in some respects, but in others we are now constantly checking a multitude of applications to ensure we are not missing something.

When I think of getting “my ducks in a row”, three primary things come to mind.

I want to have access to my –

  • Content
  •  Process
  •  Information

Thus giving me visibility into what is happening in my business, and allowing me to prioritise and create not just my to do list, but others as well.

So let’s unpack this a little…

Content can be a beast on its own. We have so much content nowadays that trying to filter content, get a handle on it and then react on it, can be a never ending exercise. What I often find is that business emails, documents and files are often stored in different places, and in different ways by different people. In my business we have brought all this structured content together and are able to see all content pertaining to a client, project, supplier or asset in a single place. I call this the start of the 360 degree view of an item…

Next let’s move on to Process… I learnt long ago, that wherever there is content there is process. From a leave form to a new client on boarding request..  They all have content and need to follow a predetermined process. So why not implement process automation or workflows within your business. If you have taken your content electronic already as we had done above, then being able to push this content through a process and ensure the right person is working on the right piece of work, at the right time… is an absolute pleasure… and in doing this I have visibility into where the client on boarding form is in my business and how it is holding up, allowing me to be  pro-active and not reactive.

So now I have my processes sorted, the next challenge is information. Trying to capture information in various spreadsheets was just not realistic.. I need to be able to report on this information. So capturing the information into a database makes sense, doesn’t it? Well what made more sense was to have my information for reporting,  processes and content all in a single solution. This way I could ensure I had the complete 360 degree view of the item, from content, process and information… regardless of whether it was a client, project, supplier or asset.

So I can hear you already saying, “there is no way she got this right”… Well I did! …. During  my numerous years of empowering our clients with business solutions, we finally found a solution that allows us to do all of the above… and we implemented it in house to better our business too.
