I have been assisting organisations to gain better control of their documents, for over 23 years.
There is one important lesson I have learnt over the years, and that is documents are not just documents in a business. Nine times out of ten documents contain valuable information. They are part of a business-critical process and they are never missed until they are needed.
So how can a business get better control of their documents? The trick is understanding what those documents are about? What processes they are needed for, and who needs to have access to those documents and when?
Understanding what a document is about, allows us to put the document into context. By understanding the context, we can associate information to that document. This key information or metadata about a document is what is going to allow us to find it again easier, but it can also be used in a process, as well as for compliance and reporting.
So next time you look at a document, remember this is not just a document, it has value to someone within the business and it is your responsibility to keeps things of value safe while you have it.
