A quick example: Let’s say a supplier wants to submit an invoice, this might come in as an email or hand-delivered in some cases. From here, depending on the process, it can be saved/scanned somewhere then someone will have to pick up the new invoices and start the Accounts Payable (AP) process to get them approved and paid. Once payment is made proof of payment needs to be sent to the supplier. Depending on the systems in place, this can be a lengthy process.
The Solution: Once you onboard a new Supplier in M-Files, a Hubshare Portal can automatically be created for that supplier. This will allow the supplier to see information like purchase orders and related documents. The supplier can upload the invoice via the Hubshare Portal directly into M-Files with the necessary metadata. As it is created in M-Files it can automatically start the Accounts Payable workflow and assign it to the responsible person. The supplier will be able to track the status of the approval process as it goes through the process. Once paid the proof of payment can be saved in M-Files which will immediately be available to the supplier.
